The personal touch goes a long, long way. Rather than staple or paper-clip your business card to a generic ‘Thank-You’ card (or, worse, a standard promo postcard), consider these Thank You note examples for real estate agents.

Use these thank you note templates to help develop a more personalized and professional approach with clients and to prompt potential referrals in the near future.

#1: After a meeting with a potential seller

When you’re trying to convince a seller to work with you, it’s a good idea to follow-up in a variety of ways. Call them quickly to touch base a few days after the meeting; email the person with additional information that may help their decisions, and don’t forget to write.

A personalized, hand-written letter (or typed and signed letter if your penmanship isn’t fantastic) is a great way to connect with a potential client and can be a great talking point when you touch base with that follow-up phone call.

Thank you note working after meeting a potential client

Hello, XX,

Let me take this opportunity to thank you for taking the time to meet with me on (day). I hope I was able to answer all your questions and solve any uncertainties you had.

It would be a pleasure if I could help you sell your property. Based on our discussions, I believe I understand your key motivations for selling and this, combined with my thorough understanding of the current market leads me to think that I can get you the best offer for your home.

We can start your MLS listing whenever you feel ready to start selling. I will be here to assist you throughout the whole process, help you with planning, staging decisions, when and why to photograph your property, through all the showings and I can guide you on how best to market your home in this digitally-cluttered world.

My ultimate goal will be to listen to your needs, market the property to attract potential buyers in order to get the best offer.

Thank you once again for your time. I’m looking forward to working with you.

Sincerely,

MY AGENT NAME

#2: After a listing presentation

Sometimes a seller agrees to work with you but hasn’t settled on the right list price of the best marketing campaign. That’s when you come in with your market comparables, your neighbourhood analysis and your expert insight. But it’s going to be a lot of information for the client to digest. To help, give them a day or two to process and follow-up with a handwritten (or typed and signed) letter.

Thank you note working after presenting your listing suggestion and game plan

Dear XX,

Thank you for the meeting on (day) and the opportunity to discuss with you the best strategy for listing and marketing your home. As mentioned, I / my team has XX years of experience working with buyers, just like you. We understand and appreciate what buyers want and know what is selling and not selling in your neighbourhood. Rest assured that as you consider your next steps, we are still busy preparing the best possible plan to sell your home quickly and for top dollar. We look forward to hearing your observations and for coming up with the best strategy to achieve your house selling goals.

We look forward to hearing from you.

Sincerely,

#3: After a client decides to work with you

After a seller decides to work with you as their agent, there are plenty of items on the to-do list that it can be easy to forget the small, courteous tasks. Using a template, you can quickly and effectively reinforce to your new client that their decision to work with you was the right one. Not only does the note offer a personalized touch, but it reminds the new client that you are on top of the big tasks, without forgetting the little details — an attitude that builds trust and faith in you, as their agent.

Dear XX,

I’m very excited to be working with you on the sale of your home.

Based on our conversations, I feel confident that together we will secure a great offer for your home.

My ultimate working goal is to have satisfied clients that have a less-stressful and, if I may be so bold, enjoyable experience. If you have any concerns or doubts or questions about anything at any time, I’m here to help.

Don’t hesitate to give me a call, send me a text or an email.

Cheers!

#4: After successfully selling a property

Quite often, the thrill of getting and solidifying offers from potential buyers is enough to prompt celebration — but don’t stop there. As an agent committed to all aspects of the selling process, remind your sell-side client of how attuned you are to their needs and milestones, by sending a thank you card shortly after the successful sale of their home. You can schedule this personalized touch for a short time after the finalized contract or for a short time after the closing date, or both. The key is to use this personal letter as a way to congratulate your client and to reinforce this successful relationship in their mind.

All the best,

#1: After meeting with a potential buyer

Buyers will often get referrals from friends and family, as well as looking at neighbourhood signs, to try and find the right Realtor to work with when looking for a property to buy. Since you are probably one of many agents that they will talk to, it’s a good idea to follow-up in a variety of ways, to help them remember who you are and how you work. Call them quickly to touch base a few hours or days after your initial meeting; email the person with additional information that may help their decisions, and don’t forget to write.

A personalized, hand-written letter (or typed and signed letter) is a great way to connect with a potential client and can be a great talking point when you touch base with that follow-up phone call.

#3: Follow-up thank you letter for a home buyer

Quite often, the thrill of buying a home overshadows all the little tasks that are necessary to get to closing — and, quite often, as an agent, we can lose track of where our client is in the closing process. To keep you — and your client — top-of-mind, schedule a follow-up thank you letter to be sent to your home buyer client. Schedule this personalized touch for a short time after the finalized contract or for a short time after the closing date, or both. The key is to use this personal letter as a way to congratulate your client and to reinforce the fact that, as an agent, their needs as a client are front and centre.

Thank you note examples to touch-base with former clients

#1: Clients you worked with in the past

Once a client is living in their home for a few months or years, the memory of all the hard work and effort that was required to sell a property or find and buy a property can fade. To remind them of your commitment, set reminders to send a personalized follow-up thank you notes.

Hello XX,

It’s officially been (period of time) since you sold/bought your home. I know that as time passes it’s easy to forget all the concern and work that went into such a monumentous transaction —  but not for me. As a Realtor dedicated to my clients, I still remember what was required to sell/buy your home, and how happy you were when the deal was finalized. As such, I just wanted to touch base and express my gratitude for allowing me to be a part of that experience.

Plus, as a dedicated real estate professional, I just want to remind you that I’m here should you have questions or need my help.

Best regards,

MY AGENT NAME

#2: Referral thank you note example

Buyers and sellers will often ask friends, families, colleagues and real estate professionals for referrals to good real estate agents. Don’t ignore the goodwill of the person who referred you to a potential client. Remember to send personalized thank-you notes to anyone that offered a referral — it’s a great way to remind them that you are committed to building relationships and working hard for your clients.

Hello XX,

Thank you for recommending me to (client). I assure you that I will do my best to give them the best service possible and justify the confidence you’ve put in me.

Cheers!
